How to use molti for vendor management example.

TL;DR - Use molti to manage your vendors as projects, with unique life-stage workflows, and a custom site to solicit bids. Track notes, docs, files, statuses in one place so that information is stored in context of what's going on.


You've had a look around, but you're not quite sure how 'you' would use molti.  Molti is completely flexible and fully customizable.  The possibilities are really endless, so lets give you a few ideas to get started.

FinEx Vendor Tracking and Bid Acceptance Site

GOAL: Track vendors as projects through bid proposal, setup, ongoing due diligence and create a 'site' where vendors can submit bids.

FinEx is a financial services company that's been managing their vendors by email and paper files, but wants a process that's less messy and easier to track.  They also want vendors to stop emailing them proposals.  The emails aren't always sent to the same employees and bids get lost resulting in FinEx missing out.

Projects

FinEx wants to track individual vendors, so for them it made sense to make each vendor a project.

Workflows

FinEx created 4 workflows:

  • Request for Proposal

  • New Vendor

  • Ongoing Due Diligence

  • Termination

They like having a separate workflow for each stage of the life-cycle so that the 'Status' can show a very specific point in the review process.  But, if you think one workflow for the entire process works better, you could do that too.

Tasks

Looking at the 'E-Waste Recycling Vendor' project, you can see they've created specific tasks to be completed.  They've also stored custom forms with information they want to report on.

Custom Sites

Remember how FinxEx wanted a way to more securely and seamlessly collect Bids. They created a molti site that lets them collect bids, budgets, contracts... anything they could need! Vendors with no access to FinEx's molti workgroup can upload documents via the site and they will be stored in FinEx's workgroup for easy access.
