How to use the 'users' page

Go to 'users' to control workgroup and project access.

The 'Users' page in the setup menu is your one stop shop to tracking and defining user access.  

From this page you can see who has access to your workgroup or projects, active v. inactive users, last login date and time and user roles.

❗ But don't forget- you must be a workgroup admin to access the Users page.

Breakdown of the Users Page

To access to Users page:

  1. Confirm you are in the workgroup you want to review.

  2. Open the Setup Menu  from the left side menu.

  3. Locate Users  and select Proceed.

Now you'll see the list of users with access to the workgroup or access to a project in the workgroup.

Here you can see there are 14 users with access to the workgroup and a quick access summary.  

To move a user to 'inactive':

  1. Toggle the Active  button for the user you want to update.

  2. Confirm you want to deactivate the user.

Access to the workgroup will be removed, but remember, they may belong to other workgroups in the company. That access will remain unchanged.

To add a teammate to a workgroup:

  1. On the Users page, Select + Invite User  and a pop-up window will open.

  2. To invite a user to the workgroup (this will give them access to all projects, forms, uploads, etc... stored in the workgroup) confirm Company Rights  is highlighted. Then enter their email address, select the Role you want them to have and select Invite  .

  3. If you are a workgroup admin, the invitation will go to the company admin for approval.  If you ware a company admin, the invitation will be automatically approved.

To delete a teammate from a workgroup:

  1. On the Users page, find the user you want to remove and select the red X  icon.

  2. A pop-up box will ask if you if you're sure you want to remove the user.  Select Yes  to proceed.

To edit details for individual users

To change workgroup access rights for a user:

  1. On the Users page, find the user you want to edit.

  2. Select their name in blue and a User - Edit User  window will open.

  3. Change the user's 'Company Rights' by selecting a new role in the drop-down menu.

  4. Remove their old role using the red x icon .  

  5. Select Save .

This will update their role within the workgroup across all projects.

To change project access rights for a user:

  1. On the Users page, find the user you want to edit.

  2. Select their name in blue and a User - Edit User   window will open.

  3. To change the user's rights to a project select the 'Project Rights' tab.

  4.  Select the project that you want to grant access to and select the access role.

  5.  Remove their old role or project using the red x icon .  

  6. Select Save .

You can use 'Project Rights' to grant access to a user to one (or more projects) when you don't want them to have access to the entire workgroup.
